Homework Hub Policies

• When dropping off or picking up, please keep the noise level to a minimum - this is a learning environment.
• Please pull all the way over to the shoulder when dropping off or picking up students. Please DO NOT block the driveway! It is not safe for students to be dropped off or picked up from a driving lane in the middle of traffic.
• Students in 7th grade and under should be escorted to and from the Homework Hub. These parents are welcome to park in our lot, although we recommend parking on Rt. 110 or on a side street. It is a very tight lot and can be tricky to see around parked vehicles when exiting the HwH parking lot. (Our personal preference is to go a few storefronts down by Minuteman and park on Rt.110 or use their parking lot. Minuteman has graciously permitted us to do so.)  Please do not park in the designated drop-off spot! 
• Students in 8th grade and above may be dropped off at the Homework Hub sign positioned in front of the lot on Rt. 110. This sign is specifically for student drop-off. Please do not park in the designated drop-off spot!
• For our high school drivers (as well as others), the safest place is to park on Rt. 110 or on a side street when coming to Homework Hub. This will be easier for newer drivers as it can be tricky seeing around parked vehicles when exiting the HwH parking lot. (Our personal preference is to go a few storefronts down by Minuteman and park on Rt.110 or use their parking lot. Minuteman has graciously permitted us to do so.) 
• When picking up your students, especially from review classes, anticipate a lineup of cars. Please pull to the back of the line or park in one of the places suggested above.
• We request that you pay extra attention when driving near Homework Hub as the safety of our students is always top priority.

• The Homework Hub calendar follows the Half Hollow Hills School District.
• Under any other circumstances, we will notify clients via email regarding calendar changes.

• If a student's behavior is deemed unsafe or disruptive to other students, the child will be removed from the session and a parent will be called (there will be no refunds).
• Cell phone use is not permitted during sessions unless being used in an educational manner.

To become a VIP at Homework Hub, families pay an annual fee of $350 for 1 child and $25 for each additional child in the same family. VIP students will receive the following benefits:

• the ability to preview and sign up for review classes before they are released to the public;
• no additional fee to book tutoring sessions on the day of;
• a discount of $10 off each class when purchasing a package of 10 private classes; and
• 2 FREE group classes. This includes Homework Help or any available (3:1) student-to-teacher ratio class. 

*Please note: VIP families will not be given preferential treatment regarding available teachers and/or times. This will continue to be done on a first-come, first-served basis.

There is a $40 one-time registration fee to register for Homework Hub. (Not required for students enrolling in a review class, diagnostic exam, workshop, or trial session at Homework Hub).

All required Homework Hub registration forms are due before the student's first session. (Not required for students enrolling in a review class, diagnostic exam, workshop, or trial session at Homework Hub).

If a student does not have a discounted pre-paid package or a secure credit card on file, then full payment is due on the date of booking.

• All price quotes are for check, cash, Zelle, and Venmo payments only! (This is an incentive for check/cash/Zelle/Venmo paying customers.)
• We accept Visa, Master Card, and American Express. There is a 3% customer service fee added to any credit/debit card payments.
• Please keep a credit card on file to avoid a late payment charge. There is a $10 late charge for any payment not made on the day of the lesson and an additional $1 per day until full payment is made. A late payment is deemed as any payment that is not received by the end of the business day.
•  Homework Hub (HwH) will keep your credit card information securely on file to charge your card for outstanding amounts owed. Credit card information will be encrypted and securely entered through PayTrace, which is a Level I PCI Compliant Gateway. 
• If you are uncomfortable with leaving a credit card on file, a discounted package must be purchased ahead of time for all reoccurring appointments. If the session is a one-time slot, it must be paid for in full on the day of booking.  

HwH offers private and group instruction in all subject areas for students pre-k through college and beyond. Tutoring is designed to support our children’s education following the school’s curriculum.

Our policies below are not designed to be punitive but are in place out of respect for the value of our tutor’s time.

HwH In-Center (private and group classes sold on a per-session basis or as a package)

• Online registration is not available for HwH private and group classes.
• In order to reserve a spot, clients have their choice of keeping a credit card securely on file, purchasing one session ahead, or paying in advance for a package at a discounted rate. 
• Any private or group class scheduled on the day of will have an additional cost of $25. (This does not include group classes that are currently running.) 
• Full payment is due prior to the start of each session.
• All packages need to be paid in full in order to receive a discount.
• There are no refunds when a package is purchased, but a credit can be issued towards other services offered at Homework Hub.
• The minimum length for each session is one hour.
• All cancellations of scheduled appointments must be done at least 24 hours in advance to avoid a charge to your credit card or a loss of a session. (However, if the cancellation is due to sickness or an emergency, then a credit can be applied towards a pre-existing group session within one week of the cancellation date.) This makeup class cannot take the place of their regularly scheduled class.
• Alternatively, if a student cannot make it into the center for whatever reason, they can opt for their class to be online. This works best for private classes, as group classes cannot meet online unless all members of the class agree to meet remotely. 
• If your child is in a group class, please do not rely on other parents to cancel your session. If it is not clear to us, you will be charged for the missed class. 
• If your child is in a group class with just one other student, and the other student cancels with sufficient notice, you have the choice of paying for a private or canceling the class.
• If you schedule a review class or any additional classes at the time of your regularly scheduled appointment, please do not assume that we know to cancel your class. We have a very busy schedule and will not catch everything. Please cancel your own classes.
• All cancelations of scheduled appointments must be done via text message for documentation purposes. Verbal notice to a teacher, front desk, or office staff will not be sufficient. Unfortunately, word of mouth often gets lost in translation.

HwH Online Tutoring (private and group classes sold on a per-session basis or as a package)

(However, if the cancelation is due to sickness or an emergency, then a credit can be applied towards a pre-existing group session within one week of the cancellation date.) This makeup class cannot take the place of their regularly scheduled class.

Homework Hub's HwH+ program provides intervention, support and enrichment for students pre-k through college and beyond. Curriculum is designed to supplement our children's education.

HwH+ In-Center Learning Pods (micro-school setting - classes are sold as a trimester package)

• Online registration is not available for HwH+ Learning Pods.
• All HwH+ classes are sold in packages.
• This program runs quarterly through the school year.
• Late registration is acceptable if there is room in the class and will be prorated accordingly.
• To reserve a spot in a HwH+ Learning Pod, a 50% deposit is required.
• Full payment is due one week before the program start date.
• Deposits may be refunded up until 1 month before the start date.
• There will be no refunds or credit given in the event of an absence.
• No refunds will be issued for (i) classes canceled due to inclement weather (either by HwH or a parent); or (ii) classes canceled due to emergency, disaster, pandemic, or governmental directive. In such cases, if possible, classes will be provided remotely through Zoom.

HwH+ In-Center Academic Year (a sequential group of classes sold as a package)

• Online registration may or may not be available for HwH+ Academic Year classes.
• All HwH+ classes are sold in packages.
• Late registration is acceptable if there is room in the class and will be prorated accordingly.
• To reserve a spot in a HwH+ Academic Year, a 50% deposit is required.
• Full payment is due one week before the start date.
• Classes may be refunded up until three weeks before the class start date.
• There will be no refunds or credit given in the event of an absence. If a session is missed, it cannot be made up.
• A makeup class will be issued for classes canceled by Homework Hub due to inclement weather.

HwH+ Online Academic Year (a sequential group of classes sold as a package)

• Online registration may or may not be available for HwH+ Summer classes.
• All HwH+ classes are sold in packages.

 HwH+ In-Center Summer Hub (a 2.5-hour AM or PM summer program that meets Mon. through Thurs. - classes sold as a package)

• Online registration is currently not available for HwH+ Summer Hub.
• Late registration is acceptable if there is room in the class and will be prorated.
• To reserve a spot in a HwH+ Summer Hub, a 50% deposit is required.
• Full payment is due one week before the program start date.
• Deposits may be refunded up until one month before the start date.
• There will be no refunds or credit given in the event of an absence. If a session is missed it can not be made up.
• No refunds will be issued for (i) classes canceled due to inclement weather (either by HwH or a parent); or (ii) classes canceled due to emergency, disaster, pandemic, or governmental directive. In such cases, if possible, classes will be provided remotely through Zoom.

HwH Test Prep prepares our children for cumulative exams, state exams, and entrance exams for students from elementary through college and beyond.

HwH Test Prep In-Center Review Classes (Quarterlies, Midterms, Finals, Regents, AP, SSAT, CHSEE, AND MORE...)

• All payments are to be completed online through the "Enroll Now" section of the Homework Hub website.
• Classes will run with a minimum of four enrolled students. (If not enough students sign up for the class, it will result in the class being canceled and refunded, or the time of the class will be shortened based on the amount of students signed up. This will be a decision made by you if the situation should arise.)
• Review classes may be refunded up until three weeks before the class start date, less a $25 administration fee per transaction.
• There is a $25 processing fee for switching from one class to another that includes manual changes in the system.
• No refunds will be issued for (i) classes canceled due to inclement weather (either by HwH or a parent); or (ii) classes canceled due to emergency, disaster, cancelation of exam, pandemic, or governmental directive. In such cases, if possible, classes will be provided remotely through Zoom.  If video conference capability is not available for a particular class, amounts paid for the canceled classes may be applied to another class, subject to availability. In the alternative, a credit can be issued for future use towards test prep classes or available group sessions. 
• There will be no refunds or credit given in the event of an absence or late cancellation. However, if the cancellation is due to sickness or an emergency, then a credit can be issued for future use towards test prep classes or available group sessions accompanied by a doctor's note. 
• In addition, there are no make-up classes for test prep programs with a set number of sessions (e.g., 6-week Regents prep). If a session is missed, it cannot be made up.
